# Team Roles and Permissions Explained

> What Owners, Admins and Members can do in an Elephas Team workspace, plus the Team Brain roles Manager, Contributor and Reader, in one permission table.

Elephas Teams have two kinds of role. A **Team role** (Owner, Admin or Member) decides what you can manage in the Team. A **Brain role** (Manager, Contributor or Reader) decides what you can do inside each Team Brain. They are separate: being an Admin does not let you open a Team Brain's documents.

<Info>
  Available in **Team workspaces**. See [Elephas for Teams](/docs/teams/teams-overview).
</Info>

## Team roles

| Role | Who | In short |
| - | - | - |
| **Owner** | The person who bought the Team. Exactly one per Team. | Everything an Admin can do, plus the AI policy, deleting Team Brains, billing and Team recovery |
| **Admin** | Anyone invited as an Admin, or changed to Admin later | Runs the Team day to day: people, computers, Team Brains, usage and the audit log |
| **Member** | Everyone else | Uses the Team Brains shared with them |

## Brain roles

Each Team Brain has its own list of people, each with one Brain role. Only people with a Brain role can open that Brain and ask its documents.

| Role | Ask and read | Add files | Delete files and change the Brain | Share the Brain |
| - | - | - | - | - |
| **Manager** | Yes | Yes | Yes | Yes |
| **Contributor** | Yes | Yes | No | No |
| **Reader** | Yes | No | No | No |

Whoever creates a Team Brain becomes its first Manager. A Manager's computer also hands the Brain's key to new people and new computers, so keep at least one Manager per Brain who opens Elephas regularly.

## Permission table

| Action | Owner | Admin | Member |
| - | - | - | - |
| Invite people and revoke invitations | Yes | Yes | No |
| Change someone between Member and Admin | Yes | Yes | No |
| Approve, block or allow computers in **Team Devices** | Yes | Yes | No |
| Create a Team Brain | Yes | Yes | No |
| Share a Team Brain and choose people's Brain roles | Yes | Yes | Only as that Brain's Manager |
| Archive or restore a Team Brain | Yes | Yes | Only as that Brain's Manager |
| Delete a Team Brain permanently | Yes | No | No |
| Open a Team Brain and ask its documents | With a Brain role | With a Brain role | With a Brain role |
| Change the Team AI policy | Yes | No | No |
| See member AI usage and set caps | Yes | Yes | No. Members see their own usage. |
| See **Security & Audit** events | Yes | Yes | No |
| Manage the subscription and payment | Yes, on the web | No | No |
| Make a new recovery kit, grant Recovery Authority | Yes | Only if they hold Recovery Authority | No |
| Remove someone from the Team (not yet available) | Yes | Yes | No |

Every role can open every Team Settings section. When your role cannot do something, the screen says so, for example "Only the Team Owner can change the AI policy." The Elephas server checks your role on every change, whatever the app shows.

## Steps

### Change someone's Team role

<Steps>
  <Step title="Open Members">
    Go to **Team Settings › Members**.
  </Step>

  <Step title="Use the button on their row">
    Click **Make Admin** on a Member's row, or **Make Member** on an Admin's row. Elephas confirms the new role.
  </Step>
</Steps>

### Give someone a Brain role

Go to **Team Settings › Team Brains**, open **Who has access** under the Brain, pick the person in **Choose a member…**, and click **Manager**, **Contributor** or **Reader**. See [Team Brains](/docs/teams/team-brains).

## Troubleshooting

| Message | What it means |
| - | - |
| "You cannot assign that role." | Your role cannot make this change. Ask the Owner. |
| "This member changed on the server since you loaded the list." | Someone else changed this person at the same time. The list reloaded. Try again. |
| "Only the Team Owner or an Admin can view audit events." | Audit events are for Owners and Admins. |
| "Only the Team Owner, an Admin or a Manager of this Brain can change who has access." | Ask one of them to share the Brain. |
