# Elephas for Teams: Overview

> Elephas Team workspaces give your firm shared Brains, roles, an AI policy, an audit log and device approval. See how a Team workspace differs from Personal.

A Team workspace lets your colleagues ask the same documents and get the same cited answers. The Owner decides who joins, which Team Brains each person can open, and how the team uses AI.

<Info>
  Team workspaces need a **Team** plan, bought by the Team Owner and priced per seat. See [Plans and pricing](/docs/plans-and-billing/plans-and-pricing).
</Info>

## Who it's for

Firms and small groups that work from a shared body of documents: a legal team with case files, an accounting practice with client records, a consultancy with project folders. Everyone asks the documents you share, not the internet, and every answer cites the file and passage it came from.

## Personal and Team workspaces

Everyone has a Personal workspace. Joining or setting up a team adds a Team workspace next to it. You switch between them with the **Workspace** switcher at the top of the sidebar.

| | Personal workspace | Team workspace |
| - | - | - |
| **Who uses it** | Only you | Everyone the Owner invites |
| **Brains** | Your own Brains | Team Brains, shared by role |
| **Sync** | Optional [Personal Sync](/docs/sync-and-devices/personal-sync-overview), end-to-end encrypted | Team sync, end-to-end encrypted, always on for approved computers |
| **New computers** | You approve them yourself | An Owner or Admin approves them |
| **AI options** | Elephas AI, own API key or Local AI, your choice | Set by the Owner's AI policy. Own API keys are not available. |
| **Billing** | Your Personal or Professional plan | The Team plan, paid by the Owner |

The two never mix. Your Personal Brains do not move into a Team, and a Team never reads your Personal workspace. If a computer is blocked in a Team, or you are removed from one, your Personal workspace is unaffected.

Indexing happens on each computer. Always. Team sync encrypts your Team Brains, files and chats before they leave your computer, so the sync server stores data it cannot read. See [Security overview](/docs/privacy-and-security/security-overview).

## Team Settings

In a Team workspace, the sidebar has one **Team Settings** row. Click it and Overview opens, with the eight sections listed underneath:

| Section | What it's for | Article |
| - | - | - |
| **Overview** | Seats, organization state, billing state and your role | [Seats and billing](/docs/teams/team-seats-and-billing) |
| **Members** | The member list, invitations and roles | [Invite members](/docs/teams/invite-team-members) |
| **Team Brains** | Create Team Brains and choose who can open them | [Team Brains](/docs/teams/team-brains) |
| **Team Devices** | Approve or block computers for this Team | [Team devices](/docs/teams/manage-team-devices) |
| **AI Policy** | Whether cloud AI is allowed, and usage caps per member | [AI policy](/docs/teams/team-ai-policy) |
| **Security & Audit** | A record of membership, device, Brain and policy changes | [Audit log](/docs/teams/team-audit-log) |
| **Recovery** | The Team recovery kit and Recovery Authority | [Recovery kit](/docs/teams/team-recovery-kit) |
| **Billing** | The Team's billing state | [Seats and billing](/docs/teams/team-seats-and-billing) |

Every role sees every section. What you can change depends on your role, and a screen tells you when your role cannot do something. See [Roles and permissions](/docs/teams/team-roles-and-permissions).

## How a team gets started

<Steps>
  <Step title="The Owner buys a Team plan">
    In the browser, with the number of seats the team needs. The Owner counts as one seat.
  </Step>

  <Step title="The Owner sets up the Team in the app">
    The Owner's computer becomes the team's first computer, and the Owner saves the Team recovery kit. See [Set up a Team workspace](/docs/teams/set-up-a-team-workspace).
  </Step>

  <Step title="The Owner adds Team Brains and invites people">
    So nobody arrives to an empty workspace. See [Team Brains](/docs/teams/team-brains) and [Invite members](/docs/teams/invite-team-members).
  </Step>

  <Step title="Members join and get approved">
    Each member signs in with the invited email, and an Owner or Admin approves their computer. See [Join a team](/docs/teams/join-a-team).
  </Step>
</Steps>

## AI in a Team workspace

The Owner's AI policy decides whether cloud AI is used. Team cloud AI always goes through the Elephas gateway and draws on the team's pooled AI allowance. Personal API keys never apply in a Team workspace, even if you have one saved for your Personal workspace. See [Team AI policy](/docs/teams/team-ai-policy) and [What data is sent to AI](/docs/privacy-and-security/what-data-is-sent-to-ai).
