Illustration. Names are examples.

Your team already uses AI. You just cannot see where the files go.

Someone on your team pasted a client contract into a chatbot this week. It was faster than reading it.

Nobody decided that was acceptable. But you are the one who answers to the client for where their files went.

A ban does not fix it. The work still has to get done, so people use AI quietly and the files leave anyway. Elephas gives your team a way to use AI on real documents without uploading the files to a chatbot.

How a shared Brain works

  1. 1

    Create a Team Brain

Add the documents your team keeps asking about: contracts, policies, proposals, client files.

  2. 2

    Invite your people

By email. Decide per Brain who can manage it, add to it, or only read it.

  3. 3

    Everyone asks, with sources

Each answer cites the document and page it came from, so nobody has to take it on trust.

Not another chatbot. Answers come from your firm's documents, not the internet.

What the owner controls

  • Who is on the team and which Brains they can open
  • Which devices are connected
  • Whether the team may use cloud AI or the on-computer model, and whether personal details must be hidden first
  • How much AI each member can use
  • A record of security-relevant changes
  • Remove someone and their access ends. The team's keys change and the team's documents are cleared from their computer.

What stays private, even inside the team

  • Admins manage people and seats. They do not get the contents of a Brain unless they are added to it.
  • The owner can add themselves to any Brain, and that is recorded.
  • Each person's chats are private to them. Owners and admins cannot read them.

What Elephas can and cannot see

We can see

Member names and email addresses, roles, connected devices, and how much encrypted data is stored.

We cannot see

Brain names, file names, document contents, chats, or encryption keys.

Sync is end-to-end encrypted. Our servers hold only encrypted data that we cannot read. Files in a shared Brain are encrypted before they are uploaded and decrypted only on the computers of the people the Brain is shared with. Each computer builds its own search index.

Asking a question is different, and we want to be plain about it. When you ask with Elephas AI, your question and the passages Elephas picked from your documents are sent through the Elephas gateway to the AI model. They are not stored and are not used to train AI models. Personal details such as names, email addresses, and phone numbers are hidden first.

Questions owners ask

Is there a minimum team size?
No. You can start with one seat. You choose the number of seats at checkout, and the owner counts as one.
Do members need their own plan?
No. A seat on your team covers them. A Personal or Professional plan is separate from a team seat.
Can a team use Windows?
Not yet. Elephas Team runs on macOS 14 or later on Apple Silicon Macs today. The Windows version, for Windows 10 and 11 (64-bit), is coming soon through the Microsoft Store, and a team will be able to use both.
Can we use our own API keys?
Not on Team. For cloud AI, Team uses Elephas AI, with included usage pooled across seats. The owner sets the AI policy for the team, can cap usage per member, and can allow the on-computer model.
What if a laptop is lost?
Remove that member and their access ends. The team's keys change and the team's documents are cleared from their computer. The search index and chats on that laptop were stored in an encrypted database.
Is there a free trial for teams?
The free trial is for one person on one computer. Try Elephas yourself first, then set up your team.
